Position Purpose

Distribution Center Administrative Assistant III provides administrative and operational support to the Distribution Center by coordinating purchase orders, maintaining accurate reporting systems, and ensuring the smooth operation of day-to-day office functions. This position requires advanced knowledge of office systems, strong organizational skills, and the ability to coordinate tasks across departments. The role supports leadership through accurate documentation, timely communication, and proactive problem-solving, helping to drive departmental goals and operational efficiency.

Compensation

The range displayed reflects the range the company reasonably expects to pay for the position. The actual compensation offered to the selected individual(s) will depend on their relevant education, training, or experience, among other bona fide factors.

 

Expected Minimum Pay Rate

USD $25.72/Hr.

Expected Maximum Pay Rate

USD $33.43/Hr.

Responsibilities

How You will Make a Difference

 

1. Purchase Order (PO) and Invoice Processing

  • Completes the accurate and timely processing of PO requests, goods receipts, and invoice submissions.
  • Partners with Procurement to coordinate store equipment repairs, track capital expenditure (CAPEX) and project POs, and maintain organized financial records.
  • Processes sales orders related to inter-facility transfers, vendor chargebacks, and damaged product loads.
  • Supports internal cost allocations by preparing detailed transfer documentation and uploading expense registers.

2. Administrative and Operational Support

  • Provides administrative support to ensure seamless day-to-day facility operations.
  • Maintains team and operational calendars, coordinates office supply orders, handles incoming and outgoing mail, and maintains up-to-date email distribution lists.
  • Plans and coordinates internal meetings and key events, including monthly and annual celebrations.

3. Systems & Reporting

  • Organizes operational data using shared drives, SAP, Ariba, and Excel-based trackers; prepares and distributes weekly reports to enable data-driven decision-making.
  • Maintains key operational tracking tools, including labor charts, cost-per-case documents, and backhaul logs.
  • Tracks training hours and productivity metrics, ensuring delivery schedules are updated in accordance with SAP system changes.
  • Maintains CAPEX documentation and supports long-term planning by updating and organizing 5-Year Plan materials.

Education & Experience

  • High school diploma or GED with five (5) or more years of increasingly responsible administrative work experience.

Required Knowledge

  • Knowledge of specialized department practices and operations such as systems, freight and shipping principles, knowledge of margin/cost/profit calculations, and internal processes.
  • Knowledge of general office practices and operations.

 Skills & Abilities

  • Advanced personal computer expertise in PC.  Intermediate to advanced skills in Word, excel, presentation, calendaring, project, and SharePoint applications; ability to train others in systems usage preferred.
  • Ability to keyboard with sufficient speed and accuracy to perform job functions as required.
  • Ability to create a variety of documents, including memos, reports, spreadsheets, and presentations.
  • Knowledge of business English, including vocabulary, spelling, and correct grammatical usage and punctuation.
  • Basic mathematical ability; ability to compute rate, ratio, and percent.
  • Excellent interpersonal and communication skills, both verbal and written.
  • Ability to interact with all levels of management; maintain effective working relationships.
  • Ability to work independently, to be flexible in changing work priorities, and to handle multiple tasks simultaneously.
  • Ability to act in a responsive manner to customer inquiries and requests; Demonstrated organizational and problem-solving skills.

Work Environment

  • Work is primarily conducted in a business office setting, with occasional exposure to an active warehouse environment.
  • Occasional travel to outside locations or meetings.
  • Ability to work extended hours, as required, in support of the company’s business needs.
