Position Purpose

Under general supervision, to provide a variety of general clerical functions in support of the Maintenance Department staff and other departments. Employees in this job classification provide general and clerical support by responding to and dispatching routine and emergency store service requests, monitoring store energy management alarms handling invoices and performing other clerical duties.  This job classification requires working knowledge of computers, store equipment, facilities operations, a general understanding of accounting procedures and office equipment and the ability to handle and respond to a range of routine and emergency calls with composure and good customer service skills in a timely manner.

Compensation

The range displayed reflects the range the company reasonably expects to pay for the position. The actual compensation offered to the selected individual(s) will depend on their relevant education, training, or experience, among other bona fide factors.

Expected Minimum Pay Rate

USD $20.43/Hr.

Expected Maximum Pay Rate

USD $25.80/Hr.

Responsibilities

  • Receive telephone, voice mail, computer and fax requests for service of equipment at stores or facilities.  Respond to requests by following service procedures for routine requests including entering into the computer routine priorities and notifying appropriate staff or outside vendor.  Monitor all store-based calls from technicians and store management, dispatching in a timely manner.  Create work order numbers and dispatch service requests.
  • Follow established guidelines in handling emergency situations.  Complete follow-up on dispatched open and closed problem calls or requests.
  • Review inspections form government agencies including Federal, State, City, County, Fire Departments, Health Departments as well as corporate departments such as Consumer Affairs, Risk Management, Loss Prevention, Food Safety and others.  Initiate work order numbers as needed to ensure that inspections are dispatched following proper guidelines and in a timely manner.  Follow up with agencies, corporate, store management, and Maintenance Department staff with any re-inspections, deadlines or other situations.
  • Perform data entry of service costs using the maintenance department computer software program.  Code and process Raley’s technician invoices following procedures.  Follow up with errors or discrepancies on invoices, making corrections as necessary.
  • Perform data entry of outside vendor service invoices for all assigned areas.  Maintains information on shared database.
  • Process bids from outside vendors as requested including initiating request and providing bids to supervisors and filing copies.
  • Prepare routine reports for supervisors, Risk Management, corporate attorneys and Distribution Center; track surveys as needed and perform related duties.
  • Perform a variety of general support functions and clerical duties in support of the Maintenance Department, to include posting time sheets, processing weekly payroll, daily mail, and weekly reconciliations.  Track warranty information and create spreadsheets for specific services.
  • Assist in production of a Maintenance Department Newsletter for the stores as well as articles for approved corporate web pages, newsletters and magazines.
  • Performs other duties as assigned.

Qualifications

  • High School Diploma or G.E.D.
  • Clerical experience in general office procedures.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to perform basic math functions including reconciliation of  accounts.
  • Knowledge of store and facilities operations.
  • Ability to operate a computer and related software programs to include Word, Excel, Windows and related software.
  • Ability to type and perform 10-key by touch with sufficient speed and accuracy to perform job functions as required.
  • Ability to work independently and meet multiple priorities within tight time frames.
  • Demonstrated ability in customer service; ability to effectively handle emergency situations with composure; verbal and written communication, organizational and prioritization skills.

WORK ENVIRONMENT

Work is performed in a normal office environment.  Occasional exposure to a warehouse environment, equipment, airport or train noise.  May be required to work overtime hours.
